Supported Locations |
The Supported Locations tab enables you to specify whether a pool vehicle type supports all locations or only specific locations, and whether managerial approval is required before a reservation may be confirmed.
You can specify approval by pool vehicle type (for example, approval is required for all heavy equipment but not for sedans) or for a pool vehicle type at specific locations. If approval is required, the reservation is placed in APPR REQD status until it is approved.
Note: This status is also noted in the Reservations Portal in Web Modules.
The field in the top section of this tab defines the data that displays.
Pool vehicle type
Type of vehicle currently selected in the grid or that you are defining. This field has a list box. The type description displays to the right of the field.
Data in the fields in the bottom section of the tab specify the locations supported by the pool vehicle type and the approval requirements. All fields are optional.
Supports all locations
If this field has a check, the vehicle type supports all locations.
Approval required across all locations
If this field has a check, reservations for the specified pool vehicle type must be approved before they may be confirmed. The requirement applies to all locations.
Note: If this option is chosen, reservations are placed in APPR REQD status until approved. Once approved, the pool dispatch clerk changes the status from APPR REQD to CONFIRMED. If not enough vehicles are available, the reservation may be changed to STANDBY.
If you require approval for a vehicle type at some locations but not all, use the fields in the screen group.
Name and identifier of the locations that this vehicle type supports. You can specify up to 1,000 locations in this screen group.
Delete
To delete the specified location ID from the list of locations that the vehicle type supports, place a check in this field and click Save.
Location ID
Valid identifier of a location that the vehicle type supports. This field has a list box.
Location name
Name of the location in the Location ID field. This field is display only.
Approval required
If this field has a check, reservations for the specified pool vehicle type must be approved before availability is confirmed. Applies only to the specified location.
Vehicle turnaround minutes
The number of minutes that it takes a vehicle to be ready for the next reservation.
Additional buffer minutes
Additional minutes to add to the reservation. This cushion acts as a buffer if a car is returned late to help avoid the next users having issues picking up the vehicle.
