How to resolve rejected automated fuel-ticket transactions


If a large fuel run does not list all accepted or rejected transactions on the Transactions tab of the Data -> Equipment Activity -> Fueling -> Automated Fuel Tickets screen, use the following procedure to correct the errors and re-run the report.

Step 1.  From the Query/Report Generator screen, set up a new report as follows:

a. On the Data Items tab:
• Select the Fuel_Upload_Data table.
• Select the Tran_Data column.

b. On the Restrictions tab:
In the top grid, type Fuel_Upload_Data.Entry = 'Y' and Fuel_Upload_Data.Run_No = '<PROMPT:Enter Fuel Run ID>'

c. On the Layout tab:
Right-click anywhere in the white part of the screen and select Default Layout from the shortcut menu.

d. On the Manage tab:
• In the Report name field, specify the report name.
• Click the Save Report button.
• In the Output destination field, select the text file.
• Click the Run Report button.

Step 2.   Use a text editor to view the text file created by the report query. The data is a string of text containing fields such as data, fuel quantity, fuel price, pump ID, site ID, and equipment ID. Each error message identifies which field data does not match the specification setup outlined in the database. Examples include 'equipment ID is not valid', 'pump/site ID is not valid', 'date format is incorrect.' Because the files are computer-generated, some lines may include illegal characters or other types of errors.

Step 3.   In the text file, edit the rejected data and correct it as needed.

Step 4.   Rename the text file and process it with a new fuel run ID. Use the same process you used to run the automated fuel tickets file provided by the vendor (or vendors).
