Basic Info

The Basic Info tab for tanks enables you to record information about fuel and fluid tanks.

Detail View Header

The fields in the top section of this tab define the data that displays.

Tank ID

Identifier of the tank currently selected in the grid or that you are defining. The tank ID must consist of valid bar code characters only. This field has a list box. When you define a tank ID for the first time, you must also process a receipt of fuel in order to establish the tank’s inventory. To delete a tank, the quantity/on hand value for the tank must be zero (listed on the Current Inventory tab).

Data in the fields on the bottom section of this tab define the basic information about the tank. Unless otherwise indicated, these fields are required.

Location ID

Valid identifier of the location at which the tank is installed. The location must have a check in the Fueling site field on the Functions tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen. This field has a list box. The location name displays to the right of the ID.

Fuel/fluid type

Type of fuel or fluid stored in the tank. To define a tank as a fluid tank, specify a fluid ID instead of a fuel type. You issue fluid from a tank the same way you would issue fuel from a tank. This field has a list box. The description displays to the right of the field.

Fuel types are defined on the Data -> Fuel/Fluid Tanks -> Setup -> Fuel Types screen. Fluid types are defined on the Data -> Fuel/Fluid Tanks -> Setup -> Fluid/Product Types screen. See also defining codes for fuel types and changing a tank’s fuel type.

Tank capacity

Capacity of the tank, in gallons or liters. A tank capacity of zero means that inventory for this tank is not tracked. This field is optional.

If you specify a capacity, it cannot be lower than the current quantity on hand. In addition, the tank capacity must be greater than the following:

Reorder point

Inventory level at which you must order more fuel or fluid to avoid reaching the sediment level or below in the tank. If the Tank capacity field contains a non-zero value, this value must not be greater than that value. This field is optional.

Preferred vendor ID

Valid identifier of the vendor from which you normally purchase this type of fuel or fluid for the tank. This field has a list box. The vendor name displays to the right of the ID. This field is optional.

Vendors are defined on the Data -> Setup -> Organization Structure -> Vendors -> Primary Information screen.

Underground tank

If this field has a check, the tank is located underground. This field is optional.

Underground account

If there is a check in the Underground tank field (for tracking/inspection purposes), this is the state-assigned account number of the tank. Free-format field up to 60 characters. This field is optional.

Fuel card ID

Identifier of the fuel card. Facilitates fuel tank transfers using FuelFocus. Maximum field length is nine numeric digits (no decimal points or other characters allowed). This field is optional.

Fuel card PIN

Personal identification number (PIN) associated with the fuel card. Maximum field length is 12 alphanumeric characters. This field is optional.

Active

If this field has a check, the tank is active. Only active tanks are listed in choice lists.

You may want to set a fuel tank as inactive if you have changed how you manage your fuel tank data or the tank is no longer in use for whatever reason.
