Current Inventory |
The Current Inventory tab displays information about the current fuel inventory and pending orders. Tank readings are updated when fuel is received.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can sort on tank ID, location ID, fuel/fluid type, and underground account.
The fields in the top section of this tab define the data that displays.
Tank ID
Identifier of the tank currently selected in the grid or being defined. This field has a list box.
Data in the fields on the bottom section of this tab define the inventory information about the fuel. All fuel and fluid quantities support three decimal places (such as 14,3). Unless otherwise indicated, these fields are display only.
On hand: Quantity of fuel or fluid currently in the tank. Rounded off to three decimals. To enter a value for this field when you define a new tank ID, use the Data -> Fuel Activity -> Receipts screen to record a receipt for the amount currently in the tank.
If you enter a tank inventory reading for the tank (go to the Data -> Fuel Activity -> Tank Readings screen), this information is sued on the Last Tank Reading tab to automatically adjust this value using the following calculation:
Last tank reading/Amount + Receipts since last read - Usage since last read + Transfers in since last read - Transfers out since last read
The following actions are performed:
The following fields are reset to zero:
Quantity received (Data -> Fuel Activity -> Receipts).
Last tank reading, Transfers in since last read, and Transfers out since last read (Last Tank Reading tab)
The information in the Value/On hand field is recalculated.
When you use the Data -> Equipment Activity -> Internal Fuel Tickets screen to post charges for fuel or fluid transactions, a warning message appears if the amount remaining after processing the ticket would be less than the Reorder point specified on the Basic Info tab.
On order: Quantity of fuel or fluid on order.
On hand: Value of fuel or fluid on hand.
On order: Value of fuel or fluid on order.
Current average price
Current unit price per gallon or liter of fuel or fluid in this tank. Average inventory pricing is used for fuel unit prices. This field is optional.
Tank uses static price from fuel/fluid type
Static pricing is enabled by checking this option. Fuel tanks with this setting enabled have a unit price and a value on hand based on their fuel/fluid type. When any action changes the price of a fuel/fluid type, or changes the fuel/fluid type on a tank, any associated tanks that use static pricing will have automatic tank readings inserted to adjust the unit price accordingly. These tank readings will include a comment indicating they are automatic. If enabled, the following work flows are impacted:
Issuing Fuel/Fluid – Quantity on hand will be adjusted based on what was issued. Value on hand will be recalculated based on new quantity unit price from fuel/fluid type. This ignores the actual issue price which will be recorded on the issue.
Receiving Fuel/Fluid – Quantity on hand will be adjusted based on what was issued. Value on hand will be recalculated based on new quantity unit price from fuel/fluid type. This ignores the actual receipt price which will be recorded on the receipt.
Transferring Fuel/Fluid – Tanks that use static pricing will have quantity adjusted, and value on hand will be recalculated based on unit price from the type.
Override unit price on fuel ticket
If this option is checked, this option allows the ticket to have a different price that what is listed on the fuel tank. When a ticket is submitted with an override price in place, the tank's unit price is updated accordingly.
This information is for the last receipt for the fuel tank. If the last receipt date entered in the latest receipt date, the date and time will update to match the receipt date information.
Date: Date the tank last received fuel or fluid.
Price: Price of the fuel or fluid last added to the tank.
Vendor ID: Identifier of the vendor that last supplied fuel or fluid for the tank. The vendor name displays to the right of the ID. This information is updated every time you receive fuel or fluid for the tank.
Purchase order ID: Identifier of the purchase order on which the last receipt of fuel or fluid was ordered. This information is updated every time you receive fuel or fluid for the tank.
FuelFocus unit price for generic credit card transactions
Price to charge for generic credit card transactions. This field is optional.
The fields in the screen group enable you to define a fuel tank as a master tank, which is made up of multiple attached separate tanks (sub-tanks). This is useful if you have a single pump that is fed by a group of tanks instead of being tied to only one tank. The inventory of a master tank is updated any time the inventory of one of its sub-tanks is affected, be it through a tank reading, a receipt, or an issue. Because the master tank itself does not really exist, you cannot perform tank readings or receipts against it. Issues from the master tank affect the recorded inventory of the master tank because the system does not know which sub-tank it came from.
Delete
If this field has a check, the entire row is deleted when you click Save.
Tank ID
Unique identifier of the tank currently selected in the grid or being defined. Leading zeros and alphabetic characters are not allowed. Maximum field length is four characters.
