Locations


The Locations tab enables you to display and assign location IDs to the types of locations equipment units are associated with (e.g., preventive maintenance [PM], repair, mobile, station, storage).

The Stationary Equipment screen supports location level and department-level access control, so you must belong to a user group with the applicable authorizations to make changes or updates.

Detail View Header

The field in the top section of this tab defines the data that displays.

Equipment ID

Identifier of the equipment unit currently selected in the grid or that you are defining. This field has a list box. The equipment unit's year, manufacturer, and model display to the right of the ID.

When you insert an equipment unit with an asset category that supports automatic numbering and this field is blank,an equipment ID is generated that follows the format specified in the Custom ID structure field on the Data -> Equipment Units -> Setup -> Asset Categories screen. If you specify an ID and the equipment’s asset category supports automatic numbering, the ID is not overwritten.

Whether an asset category supports automatic numbering is specified on the Data -> Equipment Units -> Setup -> Asset Categories screen.

New equipment unit

Press the New equipment unit button to activate the New Equipment Wizard, which steps you through entering the basic data elements associated with a new equipment unit.

Detail View

The data in the fields in the bottom section of this tab assign the location IDs to the locations types with which equipment units are associated. Unless otherwise indicated, these fields are required.

Location type

The following fields have list boxes and zoom buttons to the Data -> Setup -> Organization Structure -> Locations  -> Primary Information screen, where location IDs are defined.

Assigned PM

Identifier of the shop location to which the unit is assigned for scheduled PM work. The location must be authorized for PM work (refer to the Data -> Setup -> Organization Structure -> Locations  -> Primary Information screen). PM work can actually be performed at any shop authorized to perform PM work. The location name displays to the right of the ID.

If you process an update to this ID, all appropriate work orders with a job status of PENDING on the Data -> Shop Activity -> Work Order Center screen are transferred from the old assigned PM location ID to the new assigned PM location ID.

Preferred PM shift

Numeric code for the shift in which to schedule PM on this equipment unit. This field has a list box. Required if there is a check in the Require preferred PM shift for equipment units field on the General Info tab of the Data -> Equipment Units -> Setup -> Options screen. Otherwise, optional.

Shifts are defined on the Data -> Shop Activity -> Setup -> Shifts screen.

Assigned repair

Identifier of the shop location to which the unit is assigned for scheduled repair work. The location must be authorized for repair work (refer to the Data -> Setup -> Organization Structure -> Locations  -> Primary Information screen). Repair work can be performed at any authorized shop.

If you process an update to this ID, all appropriate work orders with a job status of PENDING on the Data -> Shop Activity -> Work Order Center screen are transferred from the old assigned repair location ID to the new assigned repair location ID. The location name displays to the right of the ID.

Work assignment profile ID

Identifier of the work assignment profile. This field has a list box. This field is optional.

Work assignment profiles are defined on the Data -> Equipment Units -> Setup -> Work Assignment Profiles screen.

Assigned mobile

Identifier of the location of the quick response or mobile shop to which the unit is assigned to schedule immediate responses when the unit’s equipment status changes to OUT OF SERVICE on the Status tab. The location must be authorized as a Shop (mobile) location (go the Functions tab on the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen). This field is optional.

The Require assigned mobile shop for equipment units field on the General Info tab of the Data -> Equipment Units -> Setup -> Options screen specifies whether information in this field is required. The location name displays to the right of the ID.

Station

Identifier of the location where the equipment unit is stationed. The Require station location for equipment units and the Require station location to match first _____ characters of a department ID fields on the General Info tab of the Data -> Equipment Units -> Setup -> Options screen specify whether information in this field is required and whether the first __ number of characters in this field must match the same first number of characters of the department ID to which the equipment unit is assigned. This field is optional.

Example: You can use the station location to identify where an equipment unit is housed or assigned or to designate the administrative office that supports an equipment unit. The station location can be different than the other assigned locations, even if they are all physically located together, because many organizations define several location IDs for a single physical facility. The location name displays to the right of the ID.

Vehicle location

Text field in which you can specify a vehicle's location. This field is optional.

Stored

Identifier of the location where the equipment unit is normally stored. The location name displays to the right of the ID. This field is optional.

Building location

Text field in which you can specify a building's location. This field is optional.

Current

Identifier of the equipment unit's most recent location. This field is set to spaces whenever the Status tab indicates that a unit has an equipment status of IN SERVICE. The location name displays to the right of the ID. This field is optional.

Other location data

Text field in which you can specify other location data. This field is optional. There is a maximum of 255 characters allowed in this field.

Availability

If your SLAs are defined by location, identifier of the location at which the equipment units belong to the SLA. To use this field, you must initiate the data for each equipment unit that needs to belong to a location-based SLA. This field has a list box. The location name displays to the right of the ID. This field is optional.

SLAs are defined on the Basic Info tab of the Data -> Equipment Management -> Service Level Agreements -> Primary Information screen. The default availability location ID is specified on the Basic Info tab of the Data -> Setup -> Organization Structure -> Locations -> Primary Information screen.

Last fuel

Identifier of the location of the fuel tank from which the equipment unit received its last internal fuel. The location name displays to the right of the ID. This field is display only.

Location IDs are defined on the Data -> Setup -> Organization Structure -> Locations  -> Primary Information screen.

Last fuel date

Last date (in MMDDYYYY format) that fuel was dispensed. Display only from the Data -> Equipment Activity -> Fueling -> External Fuel Tickets screen or the Data -> Equipment Activity -> Fueling -> Internal Fuel Tickets screen.

Access rights

Identifier of the location associated with the equipment unit for data security purposes. This field is optional.

If there is a check in the Require match between work order location and equipment access rights location field on the Options tab of the Data -> Shop Activity -> Setup -> Options screen, you can only open work orders for a shop location ID if that ID is specified in this field.

If location-level access control is in effect, you can view or modify (update) data for this equipment unit only if you are assigned to a user group that is authorized to do so. This field has a list box and a zoom button to the Data -> Setup -> Organization Structure -> Locations  -> Primary Information screen, on which location IDs are defined.

Users are assigned to user groups on the System Mgmt -> Setup -> Access Rights -> Users screen. The location IDs for which user groups can view or update information are specified on the Rights Templates tab of the System Mgmt -> Setup -> Access Rights -> User Groups screen.
