Note: Linear assets do not display on this screen. Use the Data -> Equipment Units -> Linear Assets -> Primary Information screen.
The Basic Info tab enables you to define identifying information about equipment units.
Tip: To limit the display of information in the grid and maximize performance, use the filter. You can search on equipment ID, serial number, asset category ID, SLA equipment category, assigned repair location ID, and department ID, among other values. The list of searchable fields on the filter is extensive; use the scroll bar to view them all.
Note: Linear reference assets that are single point will always set the TO offset equal to the FROM. The application will always populate the TO information with the FROM information when the TO is left empty.
Note: Filtering data based on fuel/fluid type uses the information in the Supported fuel/fluid types screen group on the Codes tab.
The Asset Primary screen supports department-level and location level access control, so you must belong to a user group with the applicable authorizations to make changes or updates.
The field in the top section of this tab defines the data that displays.
Equipment ID
Identifier of the equipment unit currently selected in the grid or that you are defining. This field has a list box. The equipment unit year, manufacturer, and model display to the right of the ID.
There is no limit to the number of equipment IDs that you may define, but you may only use valid bar code characters.
When you insert an equipment unit with an asset category that supports automatic numbering and this field is blank, the system generates an equipment ID that follows the format specified in the Custom ID structure field on the Data -> Equipment Units -> Setup -> Asset Categories screen. If you specify an ID and the equipment’s asset category supports automatic numbering, the ID is not overwritten.

Asset type
The type of asset.
The fields in the bottom section of this tab define the basic information about the equipment unit. Unless otherwise indicated, these fields are required.
Model year
Four-digit model year of the equipment unit. It must not be earlier than 1753 nor later than the current year plus the value in the Maximum number of future years for valid equipment year field on the More Info tab of the Data -> Equipment Units -> Setup -> Options screen.
Manufacturer ID
Identifier of the equipment unit manufacturer. This field has a list box. The manufacturer name displays to the right of the ID. (Equipment manufacturers are defined on the Data -> Equipment Units -> Setup -> Equipment Manufacturers screen.)
Model ID
Valid identifier of the equipment unit model. This field has a list box. The model name displays to the right of the ID. This field has a maximum character limit of 30. Equipment models associated with manufacturers are defined on the Data -> Equipment Units -> Setup -> Equipment Manufacturers screen.
Equipment type
Type of equipment. This field has a list box. The equipment
type description displays to the right of the ID. This field also has
a zoom button
to the Data -> Equipment Units ->
Setup -> Equipment Types
screen.
The equipment type is used to associate parts used with equipment units and assist in identifying parts no longer required in inventory after the organization disposes of equipment units.
Description
Description of the equipment unit. Free-format area.
Color
Color of the equipment unit. Optional, free-format area.
Serial number
Serial or identification number. Maximum field length is 50 characters. Required if the Life-cycle status code ID field on the Status tab specifies an ID associated with a status category of ACTIVE.
If there is a value in this field, the combination of serial number, manufacturer ID, and model must be different than the combination of these values for all other equipment units.
Life-cycle status codes are associated with status categories on the Data -> Equipment Units -> Setup -> Life-Cycle Status Codes screen.
Asset number
Equipment unit’s asset number. The maximum field length is 20 characters. Optional text area.
Associated file:
Path
and file name: Navigation path and name of a file associated
with the equipment unit. This is useful if you want to associate a
procedures document, diagram, or schematic with the unit. The field
allows both uppercase and lowercase letters to support operating systems
that are case-sensitive. Maximum field length is 255 characters; the
first 85 display in the field. This field has a file launch button

Description: Description of the file associated with the equipment unit. Maximum field length is 60 characters, and all display in the field.
PM program type
Type of PM (preventive maintenance) program to which the equipment unit is assigned for purposes of specifying its meter types. The PM program type determines whether information on the Class PM tab or the Individual PM tab will be used to generate Equipment Due for PM reports. This field has a list box with the following options:
CLASS: When you finish a work order in which charges or hours are posted to a task ID with a task type of PM SERVICE on equipment units with a PM program type of CLASS, the equipment unit's PM schedule updates automatically if only one PM SERVICE has charges or hours posted on that work order.
If more than one PM SERVICE has charges or hours posted on that work order, you must specify either YES or NO in the Update PM schedule field on the Tasks tab of the Data -> Shop Activity -> Work Order Center screen to update the equipment unit's PM schedule.
If the equipment unit is assigned a PM program type of CLASS, the class PM data displays on the Class PM tab
INDIVIDUAL: When you finish a work order in which charges or hours are posted to a task ID with a task type of PM SERVICE on equipment units with a PM program type of INDIVIDUAL, the equipment unit's PM schedule updates automatically for each service.
If the equipment unit is assigned a PM program type of INDIVIDUAL, the class PM data displays on the Individual PM tab.
BOTH: Both class and individual program types.
NONE: Units do not have a regular PM schedule.
